Resources

Resources can be anything that time can be scheduled for, for example, people, meeting rooms, cars, washing machines, etc.

The multi-resource calendar view lets you see the schedules of several resources side-by-side. For example, in the view, you can find out what everyone's schedule is for the day, find out which of your company's conference rooms is free at a specific time, or find out which cars are scheduled to washed next time.

To display a resources or resources in calendars, you need to create them in Resources View firstly.

The following table explains the details of resources.

Resource
*Resource The resource name (up to 255 characters).
Color The color of the resource. You can use different color to flag different resource.
Icon The resource's icon.
Display in Calendar Check this option if you wish to display this resource information in Calendar.
Email An Email address
Identity Resource identity. It can be any string to identity a resource uniquely.
Work Type Work type. There are several work type: Full Time, Part Time, Consultant, Contract, Casual, Temporary.
Work Days How may days the resource normally works in a week (for example, if he/she normally works 5.5 days per week, enter 5.5). This information is used to calculate missing time in the "Timesheet Summary" report. For more information, search for help on Reports in Help, Contents.
Work Hours How may hours the resource normally works in a day (for example, if he/she normally works 8 hours per day, enter 8). This information is used to calculate missing time in the "Timesheet Summary" report. For more information, search for help on Reports in Help, Contents.
Advance
Gender resource's gender.
PIN Personal Identification Number.
Job Title Job title.
SSN Social Security Number.
Birthday resource's birthday.
Anniversary resource's anniversary.
Pictures The resource's picture.

To add Resources:

  1. Click Tools, Resources from the Navigator (or select Category, Tools, Resourcesfrom the menu).
  2. Click the Add button on the main toolbar (or click the New Holiday item on the context menu).
  3. In the Add Resource Entry dialog, input the resource's Name (up to 255 characters).
  4. Select resource's Icon from the list.
  5. Check the option Display in Calendar if you wish to display the resource information in Calendar.

The following steps are optional:

  1. Enter resource's Email address.
  2. Enter resource's Identity. resource work number is used as an identifier in a company.
  3. Select Work Type from the drop-down list. There are several work types: Full Time, Part Time, Consultant, Contract, Casual, Temporary.
  4. Enter resource's Work Days. How many days the resource normally works in a week.
  5. Enter resource's Work Hours. How may hours the resource normally works in a week.

In resource's Advanced Tab

  1. Select resource's Gender from the drop-down list.
  2. Enter resource's PIN (Personal Identification Number).
  3. Enter resource's Job title.
  4. Enter resource's SSN (Social Security Number).
  5. Enter resource's Birthday.
  6. Enter resource's Anniversary.
  7. Select or remove resource's Pictures.

To edit or delete Resources:

  1. Click Tools, Resourcesbutton on the left side shortcut bar.
  2. Select the resource from the list (the top portion of the screen).
  3. Edit as necessary or to delete, click the Delete button .

Notes:

If you delete a resource, all tasks/appointments/notes related to this resource should be removed first.

Hints:

The fields marked with * are required fields. When add a new entry, you need fill something in these fields.
