Microsoft Project Server Integration

Microsoft Project Integrate Wizard offers a simple wizard to guide you step by step through the process of integrating with Microsoft Project Server. When an integration is created in Easy Tracker Pro, users can then use Easy Tracker Lite or Easy Tracker Punch Clock for timesheet entry. After the users submit their time entries, his/her leader can approve these entries, and send the time to Microsoft Project which updates the actual hours worked in Microsoft Project Server.

Best Practices

  1. Run Microsoft Project Integration Wizard.

  2. Set up Microsoft Project Server Information.

  3. Synchronize Microsoft Project Server Database.

  1. Set up user information.

If you are creating an integration to Microsoft Project Server, please refer to the following steps.

Step 1: Run Microsoft Project Integration Wizard

  1. Run Easy Tracker Pro, Choose Tools, Microsoft Project Integration Wizard.

  2. Click Project Server Integration Wizard. This option exchanges data with a SQL Server database of Microsoft Project Server. This wizard helps you integrate Easy Tracker projects with Microsoft Project Server. Easy Tracker project will be updated with the latest users, tasks, projects and assignments from Microsoft Project Server.

  3. Choose Next to continue.

Step 2: Set up Microsoft Project Server Information

  1. Enter the Project Server to your Microsoft Project Server.

  2. Enter the Database to your Microsoft Project Server database.

  3. Choose the method of authentication:

Use Windows Authentication: If you check Use trusted login based on your Windows user, you do not need enter the User Name and Password for the User Name and Password are your Windows User Name and Password.

Use Microsoft Project Server Authentication: If you don¡¯t check Use trusted login based on your Windows user, you should enter the User Name and Password.

  1. If you don¡¯t check Use trusted login based on your Windows user, you need enter the User Name and Password that are your Microsoft Project Server User Name and Password.

  2. If you want to test the Project Server Database connection, click Test Connection.

Notes:

If fail to connect the Project Server database, please check your information entered. To succeed connecting:

Please enter information that can be used to open a Project Server database.

Make sure the Project Server Database exist there;

Make sure Microsoft Project Server be open and running.

Make sure logon information is correct.

Only if the Microsoft Project Server is connected successful, the following steps may be executed.

Step 3: Synchronize Microsoft Project Server Database

1) Choose the Project name.

Choose the Project name from the drop-down list that you want to synchronize.

2) Synchronize the resource pool.

  1. Choose Synchronize resource pool option in integration options.

  2. Click Next to finish synchronizing the resource pool.

Tips:

if a resource does not have First Name or Last Name, it will not be synchronized. To synchronize successfully, all resources in Project Server database must have two names, e.g. Jack Robert.

3) Synchronize the Projects and assignments.

  1. Click Prev, back to Basic steps to integrate.

  2. Choose Synchronize projects and assignments option in integration options.

  3. Click Next to finish synchronizing the Projects and assignments.

4) Send approved time entries to Microsoft Project.

Only if users using Easy Tracker Lite or Easy Tracker Punch Clock have submitted their time entries and the time entries have been approved by leader, users may send approved time entries to Microsoft Project Server database.

  1. Click Prev, back to Basic steps to integrate.

  2. Choose Send approved time entries to Microsoft Project option in integration options.

  3. Choose approved time type: Duration, Effective time in Select approved time type.

Duration: total time the task took

Effective time: Effective Time = (Duration - Total Interrupt) * Efficiency / 100

  1. Click Next to finish sending approved time entries to Microsoft Project Server database.

Notes:

bullet

Only "Approved Time" will be sent to Microsoft Project Server database.

bullet

User does not submit actual Start and End times to Microsoft Project Server database when sending time entries. Only the total time may be submitted. Total time may be duration or effective Time.

If you want to use user integrating with Microsoft Project Server to track time, please refer to the following steps.

Step 4: Set up user information

  1. Run Easy Tracker Pro, choose Category, Users, Users.

  2. Choose the user name and edit the User ID and Password. For each user adding from Microsoft Project Server Integration, you need edit the User ID and Password information. By default, the User ID is UserX, where X is counted from 1, and Password is the first name of the user.

  3. Choose the Security level from the drop-down list. When you assign a security right to a user, the the user will only be able to enter, edit and view information accessible according to the level assigned.

  4. Choose User Users from the drop-down list. If the user need use Easy Tracker Pro and Report, you should also choose Leader Users from the drop-down list.

Notes:

You may not use both the Microsoft Project MPP Integration and the Microsoft Project Server Integration on the same Easy Tracker database. Only either of these may be used.

If you have already used the Microsoft Project MPP Integration and you want to use the Microsoft Project Server Integration, please first use Easy Tracker Database Manager to create a new database for Microsoft Project Server Integration.

In Microsoft Project, Easy Tracker Lite does not support Task Category level assignments for time tracking. Users may track time on the task level that are from Microsoft Project Integration.
