Microsoft Project Integration Wizard

Microsoft Project Integrate Wizard offers a simple wizard to guide you step by step through the process of integrating with Microsoft Project. When an integration is created in Easy Tracker Pro, users can then use Easy Tracker Lite or Easy Tracker Punch Clock for timesheet entry.

Best Practices

  1. Create a separate resource pool file (.mpp) using Microsoft Project.

  2. Create a project file (.mpp) using Microsoft Project.

  3. Integrate with the resource pool file and project file.

    1. Run Microsoft Project Integrate Wizard.

    2. Synchronize with Microsoft Project resource pool file.

    3. Synchronize with Microsoft Project file.

  1. Set up user information.

If you are creating an integration to a new Microsoft Project file, please refer to the following steps.

Step 1: Create a Resource Pool

Before assign users to projects and prepare user project and task assignment files used for time entry, you should create them in a resource pool firstly. Resources (or users) entered in the pool can be assigned to multiple projects. When a resource pool integration is created in Easy Tracker Pro, user names assigned to each project will automatically be added to the users view.

To share the resource pool file, you should store it in a shared folder on the network accessible to all users using Easy Tracker Pro, and then publish this address to all users concerned.

To create a Microsoft Project resource pool:

  1. Start Microsoft Project 2000 or greater.

  2. On the File menu, click New.

  3. On the View menu, click Resource Sheet.

  4. Add the user names to the resource sheet. If the user name does not have First Name or Last Name, it will not be synchronized. The user name must have First Name and Last Name, e.g. Jack Robert.

  5. On the Tools menu, choose Resources Sharing, Share Resources.

  6. In Share Resources box, choose Use own resources and click OK.

  7. On the File menu, click Save to save the file. If this resource pool file is to be shared, it should be saved in a shared folder on the Network accessible to all users using Easy Tracker pro.

  8. On the File menu, click Close to close the resource pool file.

Step 2: Create a project file (.mpp) using Microsoft Project

The second step is to create projects and assign users from the resource pool to each project task. When you integrate Microsoft Project files in Easy Tracker Pro, task assignments made to users in the resource pool will create user assignments used for timesheet entry.

To share the project plan file, you should store it in a shared folder on the network accessible to all users using Easy Tracker Pro, and then publish this address to all users concerned.

To open or create a project and assign users:

  1. Start Microsoft Project 2000 or greater.

  2. On the File menu, click Open and choose the resource pool file.

  3. On the File menu, click New to create a new project.

  4. On the Tools menu, choose Resources Sharing, Share Resources.

  5. In Share Resources box, check the Use resources option, choose the resource file (opened in step 2 above) from the drop-down list, click OK.

  6. For each task entered, assign a user from the resource pool. (Assign user to bottom level Tasks only, do not assign user¡¯s to summary Tasks)

  7. On the File menu, click Save to save the project file. This file should be stored in a shared folder on the Network accessible to all users using Easy Tracker Pro.

Step 3: Integrate with the resource pool file and project file

When an integration is created, the project name (.mpp) will be visible to the Projects view in Easy Tracker Pro. You can edit user and project information in Easy Tracker Pro with no affection to the Integration or Microsoft Project files. While task information will not be visible in the Tasks view, but users using Easy Tracker Lite or Punch Clock for timesheet entry can track time based on these project and task assignments.

If the project plan file has been edited in Microsoft Project, you will need to re-synchronize in Easy Tracker Pro. Please refer to the following steps to re-synchronize.

If the project or resource pool files have been renamed or moved, you will need to re-synchronize in Easy Tracker Pro.

Before integrating any project file, you must integrate to the resource pool.

Easy Tracker Pro offers a simple wizard to guide you step by step through the process of integrating with Microsoft Project.

Now start to use Microsoft Project Integration Wizard:

1. Run Microsoft Project Integrate Wizard

First run Easy Tracker Pro, choose Tools, Microsoft Project Integrate Wizard. In the Project Integration form, click Project Integration Wizard. The Integration Options require Microsoft Project to be installed on your machine. This wizard helps you integrate Easy Tracker projects with Microsoft Project. Easy Tracker project will be updated with the latest tasks from Microsoft Project. Click Next to continue.

2. Synchronize with Microsoft Project resource pool file.

  1. Check Synchronize with Microsoft Project resource pool file (.mpp) in Integration Options

  2. Click Next to continue.

  3. Select an existing Microsoft Project resource pool file to integrate with.

Use the Browse button to open the Microsoft Project resource pool file. A dialog box will pop-up. In the Look in box, use Network Neighborhood or My Network Places to find your file.

You should choose a UNC path to the MPP file. This will allow other users of Easy Tracker to access the file from their workstations. UNC (Universal Naming Convention) example:

\\server\d\resource.mpp

If fail to connect the Microsoft Project file. Make sure the file exists, and that it uses a UNC pathname if you are trying to access it on a machine other than your own.

Tip:

you can create UNC pathnames on your own machine by finding your computer in the list of Network places (Computers Near Me), then navigating to the file your wish to use. If you want to test connection , click Test connection.

  1. Click Next to continue to synchronize with Microsoft Project resource pool file. The integration result will be displayed in memo area.

Notes:

Microsoft Project 2000 or greater must be installed on your machine.

If a resource does not have first name or last name, it will not be synchronized. In the Microsoft Project resource pool file all resources must have two names, e.g. Jack Robert.

3. Synchronize with Microsoft Project file.

  1. Click Prev to back Basic steps to integrate.

  2. Check Synchronize with Microsoft Project file (.mpp) in Integration Options.

  3. Select an existing Microsoft Project plan file to integrate with.

  4. Click Next to continue. The project, task and assignment information created in Microsoft Project file will add to Easy Tracker Database.

If you want to use user from Microsoft Project to tracker timesheet entry, please refer to the following steps.

Step 4: Set up user information

  1. Run Easy Tracker Pro, choose Category, Users, Users.

  2. Choose the user name and edit the User ID and Password. For each user adding from Microsoft Project MPP Integration, you need edit the User ID and Password information. By default, the User ID is UserX, where X is counted from 1, and Password is the first name of the user.

  3. Choose the Security level from the drop-down list. When you assign a security right to a user, the the user will only be able to enter, edit and view information accessible according to the level assigned.

  4. Choose User Users from the drop-down list. If the user need use Easy Tracker Pro and Report, you should also choose Leader Users from the drop-down list.

Notes:

You may not use both the Microsoft Project MPP Integration and the Microsoft Project Server Integration on the same Easy Tracker database. Only either of these may be used.

If you have already used the Microsoft Project Server Integration and you want to use the Microsoft Project MPP Integration, please first use Easy Tracker Database Manager to create a new database for Microsoft Project MPP Integration.

In Microsoft Project, Easy Tracker Lite does not support Task Category level assignments for time tracking. Users may track time on the task level that are from Microsoft Project Integration.
