Tasks/My Tasks

Tasks are work related activities such as testing, meeting, reviewing etc. A task can be assigned to multiple projects and users in Assignments view. Assignments will be displayed in Easy Tracker timesheet entry tools (Easy Tracker Lite, Easy Tracker Punch Clock). Each user can view his or her own assignments.

If a task is necessary for all users, you can flag it in the attribute of Global. When make assignments, global tasks will be assigned to users automatically.

By creating a reminder, Easy Tracker Lite can pop up a notification when the time is due. If the task is recurring, you can create a recurrence pattern with the action of Edit Recurrence. A recurring task with a reminder will generate notification periodically.

How to use this view:

In the tool bar, you can clone, add or delete items. In the table part, you can select any item, and edit item with the popup menu.

*Name Tasks are work related activities such as testing, meeting, reviewing etc. A unique Task's name (up to 255 characters).
Important, Urgent If your task is important, please check it. If your task is urgent, please check it.

There is a famous wisdom, to make use of your time more rational:

30% of time should be spent in important and urgent things;
60% of time should be spent in important and unurgent things;
4% of time should be spent in unimportant and urgent things;
6% of time should be spent in unimportant and unurgent things.

When make your own tasks, this wisdom may be a good suggestion.

Billable If your task is billable, please check it.

Inheritance explanation:

Time Entries <= Assignments <= Tasks, Projects
Billable of Time Entries inherits from Assignments.
Billable of Assignments inherits from Tasks or Projects.

If Billable attribute in a project is set to true, then Billable attribute in new created assignment inherits from that of the task, otherwise Billable attribute in the assignment is set to false.

That's to say, if a task is billable, it will be billable in a billable project, but not billable in an unbillable project.

Although a time log or an assignment will inherit some attributes from a task or project, you still can specify them in the time log or assignment.

Quick Task If your task is quick task, please check it. Quick task will be displayed in the Quick Tasks Tab in the timesheet entry tools.
Global If your task is global, please check it. Global task will be assigned to users in a new project automatically.
Category By A task category is used to group similar types of tasks together for reporting purposes. You can also use the task category to create sub-levels of information. When you assign a task category in the Assignments view, all related tasks will also be assigned. To add or edit a task category, go to the Task Categories view in the Projects category.
Leader The manager name of this team. To add or edit a user, go to the Users view in the Users category.
Place Where the task will happen. To add or edit a place, go to the Places view in the Projects category.
Prorating The prorating is multiplied by the hours worked and the rate charged to calculate client costs. A prorating is applied to all timesheet entries that used the task. You can override the default value for a specific task in the Assignments view.
Show time as Displays the time status for the item as free, busy, tentative, or out of office when others view your schedule.
Label Allows you to apply a color-coded label to this assignment so you can tell at a glance what kind of assignment it is.
Measurement Item Information
Item A Name Measurement item A name. This name is inherited from the measurement item name A in the preferences. You can use this field to title item A. This name will be displayed in the time log, and guide user to input measure item.

For example, to review a document, you may want to get these measurement items: how many pages has been reviewed, how many bugs has been found, etc. All of these data can be collected in the time log. With these data, you can get a clear view of your productivity.

One task provides three measurement items to measure. If there are more than 3 items to measure, you need consider to choose the most important 3 items from them.

You can customize the name and hint of a measurement item in Task view of Easy Tracker Lite or Easy Tracker Pro.

Item A Hint Measurement item A description. it will be used as a hint in the timesheet entry tools, and help user to understand the measurement item A.

Item B Name The meaning is the same as Item A Name
Item B Hint The meaning is the same as Item A Hint
Item C Name The meaning is the same as Item A Name
Item C Hint The meaning is the same as Item A Hint

Note

One task provides three measurement items to measure. If there are more than 3 items to measure, you need consider to choose the most important 3 items from them.

To clone tasks:

  1. Click Projects -> Tasks(or My Projects -> My Tasks in Easy Tracker Lite) button on the left side shortcut bar, select the task you want to clone, then click the Clone button (Click the Clone button on the pop menu; click the Clone button on the top toolbar)
  2. Modify if necessary, after modify, click the Save button.

To add tasks:

  1. Click Projects -> Tasks(or My Projects -> My Tasks in Easy Tracker Lite) button on the left side shortcut bar, Click the Add button (Click the Add button on the pop menu; Click the Add button on the top toolbar)
  2. Enter a unique task's Name (up to 255 characters).

The following steps are optional:

  1. Check the Important/Urgent box if your task is important/Urgent.
  2. Check the billable box if your task is billable.
  3. Check the Global box if you want this task to be assigned to users in a new project automatically.
  4. Check the Quick Task box. Quick task will be displayed in the Quick Tasks Tab in the timesheet entry tools.
  5. Choose Category By of the task from the drop-down list. A task category is used to group similar types of tasks together for reporting purposes.
  6. Choose Leader of the task from the drop-down list. Assigning a leader to a task permits that person to manage on that task.
  7. Choose task's Place where the task will happen from the drop-down list.
  8. Enter the task's prorating. The prorating is multiplied by the hours worked and the rate charged to calculate client costs.
  9. On details tab enter Details to describe the task. When users select this task, they will see this description.
  10. Enter the task's measurement Item A Name. This name is inherited from the measurement item name A in the preferences.
  11. Enter measurement Item A Hint to description measurement item a name.

To modify or delete tasks:

  1. Click Projects -> Tasks(or My Projects -> My Tasks in Easy Tracker Lite) button on the left side shortcut bar.
  2. Choose the Tasks from the list on the right side.
  3. Modify if necessary, after modify, click the Save button.
  4. Delete if necessary, click the Delete button.

Hints:

The fields marked with * are required fields. When add a new entry, you need fill something in these fields.
Table View integrates a lot of buttons for easy operation, click here to learn them.
Clone can easy of entry item. Just select an item, use the action of Clone to clone, and create a new entry with the same settings.
Switch to the appropriate tab to add Notes, Phones and Addresses if have.
