Clients

Client is a person, division or company who bills one or several projects. One client may have several projects, so you can assign multiple projects to a client. If not charge for the services provided or expenses incurred, it is not necessary to create a client.

How to use this view:

In the tool bar, you can clone, add or delete items. In the table part, you can select any item, and edit it by using actions the popup menu.

Description

*Name Enter a unique Client's name (up to 255 characters).
Region You can apply a different tax rate to each region, and the invoices prepared will be based on the tax rate. Select a region from the drop down list.
Acronym An acronym is a short form of the client name. It will appear in reports and timesheet entry tools. Enter up to 20 characters for the abbreviation.

You can also click the button in the right part of Acronym, it will auto-calculate the acronym. The rule is: if the name just has one word, then get the first three letters as the result. If the name has more than one word, then get the first letter of each word as the result.

Status The client status.
Start Date The date the client started business relation with your company or the date your company started using this software.
End Date The date the client stopped business relation with your company or the date your company stopped using this software.
Terms Terms of payment.
Invoice Note Note about this client. This memo will be attached to the invoice.
URL The client's Web URL.
Description User description of the client (up to 255 characters)
Mailing Contact
Mailing Contact Contact Name of the contact that handles the project.
Mailing Contact Phone Phone number of the contact.
Mailing Contact Mobile Mobile phone of the contact.
Mailing Contact Fax FAX number of the contact.
Mailing Contact Email Email address of the contact.
Mailing Contact Address1 Address of company.
Mailing Contact Address2 Second address of company.
Mailing Contact City The client's mailing city.
Mailing Contact State The client's mailing state.
Mailing Contact Zip The client's mailing zip.
Billing Contact
Billing Contact Contact Name of person that handles billing.
Billing Contact Phone Phone number of billing dept.
Billing Contact Mobile Mobile phone of billing dept.
Billing Contact Fax FAX number of billing contact.
Billing Contact Email Email address of billing dept.
Billing Contact Address1 Address to send invoice to.
Billing Contact Address2 Second address line to send invoice to.
Billing Contact City City to send invoice to.
Billing Contact State State to send invoice to.
Billing Contact Zip Zip to send invoice to.
Pictures Client picture, or logon.
Icon Client's icon.

To clone client:

  1. Click Clients -> Clients button on the left side shortcut bar, select the task you want to clone, then click the Clone button (Click the Clone button on the pop menu; click the Clone button on the top toolbar)
  2. Modify if necessary, after modify, click the Save button.

To add client:

  1. Click Clients -> Clients button on the left side shortcut bar, Click the Add button (Click the Add menu on the pop menu; Click the Add button on the top toolbar).
  2. Enter a unique Name for the client (up to 255 characters).
  3. Choose a Region from the list. The region is used to apply different tax rates to each place of business.
  4. Enter a unique client Acronym. An acronym is a short form of the client name.

The following steps are optional:

  1. Select a Status from the list.
  2. Enter Start Date and End Date. The date the client started/stopped business relation with your company or the date your company started/stopped using this software.
  3. Enter Terms of payment.
  4. Enter Invoice note about this client.
  5. Enter the client's Web URL.
  6. Enter Description of the client (up to 255 characters). This is useful to help you and others remember the details of this client.
  7. Enter The client's Mailing Contact information. For example, Mailing Contact is the name of person that handles the project. Mailing Contact Email address is email address of project contact. (see Client Field Description Table)
  8. Enter The client's Billing Contact information. (see Client Field Description Table)
  9. On advanced tab, select or remove client Picture.
  10. On advanced tab, select client's icon from the list.

Hints:

The fields marked with * are required fields. When add a new entry, you need fill something in these fields.
Table View integrates a lot of buttons for easy operation, click here to learn them.
Clone can easy of entry item. Just select an item, use the action of Clone to clone, and create a new entry with the same settings.
Switch to the appropriate tab to add Notes, Phones and Addresses.
