Assignment

Assignments view provides a convenient way to create assignments for users. After assignments are created, users can use the timesheet entry tools to enter time.

When you assign a user to a project, all global tasks will be auto-assigned for that user.

To assign tasks to users, do the following steps:

  1. Use the Refresh to create all projects listed in the Projects view;
  2. Assign users to the selected project, just select a user in the user list, and drag it onto the selected project in the assignment tree;
  3. Assign tasks to the selected user, just select a task category in the task category list, or a task in the task list, and drag it onto the selected user in the assignment tree.

Switch to the Choice tab to assign users or tasks to projects, switch to the Assignment Details tab to edit the selected assignment.

User List

To assign tasks to users, do the following steps:

  1. Use the Refresh to create all projects listed in the Projects view;
  2. Assign users to the selected project, just select a user in the user list, and drag it onto the selected project in the assignment tree;
  3. Assign tasks to the selected user, just select a task category in the task category list, or a task in the task list, and drag it onto the selected user in the assignment tree.

To add or edit user, go to the Users view in the Users category.

Task Category List

To assign task categories to users, do the following steps:

  1. Use the Refresh to create all projects listed in the Projects view;
  2. Assign users to the selected project, just select a user in the user list, and drag it onto the selected project in the assignment tree;
  3. Assign tasks to the selected user, just select a task category in the task category list, or a task in the task list, and drag it onto the selected user in the assignment tree.

To add or edit task category, go to the Task Categories view in the Projects category.

Task List

To assign tasks to users, do the following steps:

  1. Use the Refresh to create all projects listed in the Projects view;
  2. Assign users to the selected project, just select a user in the user list, and drag it onto the selected project in the assignment tree;
  3. Assign tasks to the selected user, just select a task category in the task category list, or a task in the task list, and drag it onto the selected user in the assignment tree.

To add or edit task, go to the Tasks view in the Projects category.

Assignment Details

The details is inherited from the details of the assignment's task, you can also modify it in this user's assignment. To modify the task's details, go to the Tasks view in the Projects category. Use the Save Details or Get Details menu item to edit the assignment details.

Important, Urgent If the selected assignment is important or urgent, please check it respectively.

There is a famous wisdom, to make use of time more rational:

30% of time should be spent in important and urgent things;
60% of time should be spent in important and unurgent things;
4% of time should be spent in unimportant and urgent things;
6% of time should be spent in unimportant and unurgent things.

When make assignments, this wisdom may be a good suggestion.

Billable If the selected assignment is billable, please check it.

Inheritance explanation:

Time Entries <= Assignments <= Tasks, Projects

  1. Billable of Time Entries inherits from Assignments.
  2. Billable of Assignments inherits from Tasks or Projects.

If Billable attribute in a project is set to true, then Billable attribute in new created assignment inherits from that of the task, otherwise Billable attribute in the assignment is set to false.

That's to say, if a task is billable, it will be billable in a billable project, but not billable in an unbillable project.

Although a time log or an assignment will inherit some attributes from a task or project, you still can specify them in the time log or assignment.

Place Where the selected assignment will happen. To add or edit a place, go to the Places view in the Projects category.
Start Date The date the assignment is planed to start.
End Date The date the assignment is planed to finish.
Estimated Hours The estimated hours planed to finish the selected assignment.
Adjustment The adjustment hours for the selected assignment. The default value is 0.
Rate Charged The Rate Charged for the selected assignment.

The rate charged is inherited from the rate charged of the assignment's user, you can also modify it for this specified assignment. To modify the user's rate charged, go to the Rates view in the Users category.

Wage Rate The Wage Rate for the selected assignment.

The wage rate is inherited from the wage rate of the assignment's user, you can also modify it for this specified assignment. To modify the user's wage rate, go to the Rates view in the Users category.

Task Prorating The Task Prorating for the selected assignment. The task prorating is inherited from the task prorating of the assignment's task, you can also modify it for this specified assignment. To modify the task's task prorating, go to the Tasks view in the Projects category
WBS Code WBS Code. The Work Breakdown Structure code for the selected assignment.
Client Cost The Client Cost for the selected assignment. If the user finishes this assignments, your company will charge to the client based on this Cost. Client and company cost are calculated based on the following formulae:

Client cost = (estimated hours + adjust hours) * rate charged * task prorating
Company cost = (estimated hours + adjust hours) * wage rate

Company Cost The Company Cost for the selected assignment. If the user finishes this assignments, your company will pay him/her based on this cost. This part is calculated automatically, you can not modify it. Client and company cost are calculated based on the following formulae:

Client cost = (estimated hours + adjust hours) * rate charged * task prorating
Company cost = (estimated hours + adjust hours) * wage rate

Client's Overtime Rules Available client overtime rates applied to the selected assignment. Use the add or remove to edit the client overtime rates list.
Company's Overtime Rules Available company overtime rates applied to the selected assignment. Use the add or remove to edit the company overtime rates list.

Hints:

The fields marked with * are required fields. When add a new entry, you need fill something in these fields.

Switch to the appropriate tab to add Notes, Phones and Addresses.
