Expense Tracker

In Expense Tracker view, you can add or edit any expense entry. An expense can be allocated to multiple projects with different allocation ratios. If an expense is just for one project, then only one allocation is necessary. Otherwise, you can divide the expense into multi-parts, and add them one by one in Expense Tracker view.

When you have confirmed the expense entries are okay, you can use the action of Submit to submit your entries to your director.

Expense entry has several approval statuses: 

  1. Not Submitted The entry is not submitted. It can be viewed and edited.
  2. Under Review The entry is under review. It can be viewed, but cannot be edited.
  3. Rejected The entry is rejected by the approver. It can be viewed and edited.
  4. Approved The entry is approved. It can be viewed, but cannot be edited.

Note: Submit is only available for Easy Tracker Professional / Easy Tracker Enterprise.

Right-click the grid to popup a menu, which provides rich functions to edit or display expense entries.

The following table describes the menu items in popup menu or tool bar.

Editor
Edit Expense Entry Popup Edit Expense Entry dialog to edit the selected expense entry. Double-click the select entry or press Enter key can also popup Edit Expense Entry dialog.

NOTE: Only expense entries not submitted or rejected can be edited. 

Add Expense Entry Add an Expense Entry.
Delete Expense Entry Delete the selected expense entry.

NOTE: Only expense entries not submitted or rejected can be edited. 

Keyboard shortcut: Delete

Clone Expense Entry Clone the selected entry. Clone provides a great convenience to add an expense with the same settings as an existing expense.

NOTE: Only expense entries not submitted or rejected can be cloned

Submit When you have confirmed the expense entries are okay, you can use the action of Submit to submit your entries to your director.

Only available for Easy Tracker Professional / Easy Tracker Enterprise.

View
Refresh Refresh the display in the selected view.

Keyboard shortcut: F5

Time Span Show expense entries in the specified time range.
Record
Prior Span

Show prior span information.

Keyboard shortcut: Ctrl+Left

Next Span

Show next span information.

Keyboard shortcut: Ctrl+Right

Help
Help Show the help content of the selected view.

Keyboard shortcut: F1

Context Help After you click this button, the mouse cursor will change to what's it cursor, move the cursor to the grid in the selected view and click, then a context help dialog will popup.

Keyboard shortcut: Shift+F1

How to use this view: 

In the main tool bar, you can use the actions of Prior Span, Next Span to navigate different date range, and use Refresh action to refresh showing data. In the tool bar, you can select the date range, which determines the expense entries to show. In the grid, you can add or edit any expense entry by right-click to popup a menu.
